Privacy Policy

This Privacy Policy explains how Apprentice, Inc. collects, uses, and shares information when you use Apprentice. It should be read with our Terms of Service.

Overview

Apprentice builds Apprentice so students can plan college and career steps with an AI coach (Scout). We collect the account, profile, and product-usage data needed to run that service. We do not sell personal information, and we do not share personally identifiable information with AI model providers.

Personally identifiable information and model providers

When Scout or other AI features generate a response, we send a prompt to a third-party model provider. Before that happens, we tokenize known direct identifiers — including names, email addresses, phone numbers, school names, cities, and profile URLs — so the provider does not receive that PII. We do not permit model providers to train their models on Apprentice student or family data.

Please do not paste Social Security numbers, government IDs, bank passwords, or detailed health records into chats or essays. See also Section 8 of the Terms of Service.

Information we collect

Depending on how you use the Service, we may collect:

  • Account data: email, name, profile photo from your sign-in provider (Google, Discord, Apple, or email link), role (student, family, business), and Terms acceptance timestamp/version.
  • Profile and planning data: school, interests, location radius, experiences, tasks, calendar items, applications, resumes, writing drafts, awards, and similar material you enter.
  • Scout conversations: messages you send and Scout’s replies, stored so you can continue a thread. Identifiers are tokenized before the model provider sees the prompt.
  • Usage and device data: logins, feature usage for entitlements, approximate IP and user agent for security, and similar diagnostics.
  • Billing data: plan, seat counts, subscription status, and Stripe customer/payment identifiers. Card numbers are handled by Stripe, not stored in full by us.
  • Business listings: organization profile and opportunity posts if you use the business portal.

How we use information

  • Provide, personalize, and improve Apprentice and Scout for you.
  • Authenticate you, keep the Service secure, and prevent abuse.
  • Apply plan limits, process payments, send receipts, and handle refunds.
  • Send transactional email such as magic sign-in links and billing notices.
  • Comply with law, enforce our Terms, and protect students and the public.

We do not use personal information to train third-party foundation models.

When we share information

We share personal information only:

  • With service providers who process it on our instructions (see below).
  • With a linked parent or guardian on a family account, as the product discloses.
  • With a business you apply to, if you choose to apply through or from the Service.
  • If required by law, or to protect rights, safety, or security.
  • In a merger, acquisition, or asset sale, with notice where required.

We do not sell personal information as “sale” is defined under the CCPA/CPRA, and we do not share it for cross-context behavioral advertising.

Service providers

Typical processors include:

  • Cloudflare — hosting, database, email delivery, and related infrastructure.
  • Stripe — payment processing. See Stripe’s privacy policy for how Stripe handles payment data.
  • Sign-in providers — Google, Discord, or Apple if you choose that method; they receive what you authorize at sign-in.
  • AI model providers — receive tokenized, de-identified prompts only, not your PII, and may not train on Apprentice student data.

Family accounts

If a student joins a family account, the parent or guardian who pays for or manages that account can see linked student progress and related account information. Students should only join a family they trust.

Retention

We keep account and product data while your account is active. After deletion requests, we delete or de-identify personal data within a reasonable period unless we must keep it for billing, security, dispute resolution, or legal compliance (for example, invoice records). Scout chat history is kept to provide the product and may be deleted with your account.

Security

We use HTTPS, access controls, and the PII tokenization described above. No method of transmission or storage is 100% secure. Notify us at hello@apprentice-app.com if you believe your account was compromised.

Your rights

Depending on where you live (including California under the CCPA/CPRA), you may have the right to know, access, correct, or delete personal information, and to opt out of sale or sharing (we do not sell or share for ads). Email hello@apprentice-app.com from the address on your account. We will verify the request and will not discriminate against you for exercising privacy rights.

Authorized agents may submit requests as allowed by law. Parents may request deletion or export of a linked student’s data they are authorized to manage.

Children under 13

The Service is not directed to children under 13, and we do not knowingly collect personal information from them. If we learn that an account belongs to a child under 13, we will delete it. Contact hello@apprentice-app.com if you believe we have such data.

Users 13–17 should use the Service with a parent or guardian’s permission. Family billing is designed for a parent or guardian to manage.

International transfers

We currently operate the Service primarily from the United States. If you use Apprentice from another country, your information may be processed in the U.S. and other locations where our processors operate.

Changes

We may update this Privacy Policy. We will change the effective date at the top and, for material changes, provide additional notice or request a new acceptance where required.
